At Rustic Retreat Day Spa, we reserve appointment time specifically for each guest and therapist. This Cancellation Policy explains our expectations for changes, cancellations, late arrivals, and no-shows. By booking an appointment with us, you agree to the terms below.

Appointments and Confirmations

Appointments may be scheduled online through our booking system, by phone, or in person during business hours. When you book, you agree to provide accurate contact information so we can confirm your appointment and reach you if needed.

We may send appointment confirmations and reminders by email, phone, or text message. It is your responsibility to review appointment details and contact us promptly if any information is incorrect.

Cancellation Notice

We require at least 24 hours' notice to cancel or reschedule an appointment without penalty. This allows us to offer the reserved time to another guest and helps our therapists maintain their schedules.

Late Cancellations, No-Shows, and Late Arrivals

Appointments canceled with less than 24 hours' notice, missed appointments (no-shows), or appointments abandoned after arrival may be subject to a cancellation fee of up to 50% of the scheduled service price, or the full service price at our discretion.

Repeated late cancellations or no-shows may result in a requirement to prepay for future appointments or restriction from online booking.

If you arrive late for your appointment, we will make every reasonable effort to accommodate you within the remaining time. Your service may need to be shortened to avoid delaying the next guest, and the full scheduled service price may still apply.

Rescheduling

You may reschedule an appointment online, by phone, or in person, subject to therapist availability. Rescheduling requests made with at least 24 hours' notice are handled without penalty.

Because therapist hours vary by availability, rescheduled appointments are subject to open calendar times and cannot always be guaranteed for a specific day or time.

Gift Cards and Prepaid Services

Gift cards and prepaid services are subject to the terms presented at the time of purchase. Unless otherwise stated, gift cards are non-refundable, not redeemable for cash except where required by law, and do not expire unless disclosed at purchase.

If a prepaid service appointment is canceled with less than 24 hours' notice or missed without notice, the value of the scheduled service may be forfeited or applied according to the terms of the promotion or package purchased.

Couples and Multiple-Service Appointments

For couples massages, back-to-back appointments, or bookings involving more than one guest or service, we ask that you provide at least 48 hours' notice to cancel or reschedule without penalty. Late changes to multi-guest appointments may result in fees for each reserved service or therapist time block.

Illness, Emergencies, and Severe Weather

If you are ill or experiencing symptoms that could affect your treatment or the health of others, please contact us as soon as possible to reschedule. We reserve the right to reschedule or refuse service when illness or health concerns may create an unsafe environment for clients or staff.

In cases of documented emergency, severe weather, or other circumstances beyond your reasonable control, we will work with you in good faith to reschedule without penalty when possible.

Cancellations by the Spa

On rare occasions, we may need to cancel or reschedule an appointment due to therapist illness, scheduling conflicts, facility issues, or other operational reasons. If this occurs, we will notify you as promptly as possible and offer rescheduling or a refund for any prepaid amount, as applicable.
